Permissions delegated to partner administrators

  • Updated

Permissions given to partner administrators are set up via the General Management Menu:

By checking the Full Control checkbox, the Administrator gives more administrative permissions to the Partner Administrators that will be created.

The Full Control checkbox is not checked

If the Full Control checkbox is not checked, the Partner Administrators’ permissions will be limited to the following features:

Creating Learners of the Partner in question:

The Partner Administrator(s) can only create Partner Learners. They cannot themselves create other Partner Administrators.

Partner Administrators have access to limited administration of the Partner’s Learner accounts :

  • Re-send the welcome e-mail
  • Change Password
  • Suspend or Reactivate the account
  • Login as Learner Partner
  • Delete the account

(*) login as, gives partner administrators an exact view of the user experience of one of their learners, by truly putting themselves in the learner’s place.

ℹ️ Once a Learning Partner account has been created, the Partner Administrator can no longer modify it except to change the password, suspend or reactivate the account. Any other action will have to be left to the Main or Internal Platform Administrators).

Registration of Users from the Partner linked to:

  • Objectives
  • Groups
  • Training or Training Paths

Administration of Training limited to:

  • Classroom sessions management:

This includes the ability (only for existing trainings of the given Partner) to:

  • View and edit the classroom sessions
  • Register users or user groups for classroom sessions
  • Contact people registered for classroom sessions
  • View and download the attendance sheet for each classroom session
  • Generate a Training contract covering the classroom sessions administered

ℹ️ However, a Partner administrator cannot create new training. Only a preview is available covering just the partner’s training administered (only those approved and not those in draft form)

  • Translation of trainings within your scope
  • Access to the statistics for Trainings within your scope
  • Ability to manage Training Requests:

This consists of viewing training requests from users of your platform (using a reply form) and approving or refusing these requests. This is only a response in principle, since this response does not initiate registration for the requested training.

ℹ️ Note that in this configuration (“full control” not delegated to the partner administrators), the partner administrator will not be able to create training and therefore only issues a favorable or unfavorable opinion by responding to training requests from partner learners. The partner learner has to contact an Internal Platform Administrator to create training or register for training.)

⚠️The Partner Administrator cannot manage either the Catalog (even over the Partner’s reduced training scope), or the Resource Library, both of which are administered entirely by Internal Administrators (of the Parent Platform).

  • Creating and Fully Administering Objectives

The Partner Administrator can view and Create New Objectives, for which he/she can register Users of his/her Partner Platform.

  • Administering E-mails and Legal Documents within your scope
  • Access to customized Statistics and Reports within your scope

The Full Control box is checked

In addition to the administrative permissions that must be delegated, Partner Administrators will have the following additional administrative permissions :

  • Ability to create other Partner Administrators

Reminder: without “full control”, Partner Administrator accounts for the Partner platform can only be created by an Internal Administrator.

With full control, a Partner Administrator cannot create Learners but also other Partner Administrators on his/her partner platform.

  • Approve Users who request to login to the Partner Platform

If the Internal Administrator has configured (Settings > Security & Login > Authentication / Registration*) the Platform to allow Users to register themselves on the Platform (this is a setting across all platforms – main platform and partner platforms), the login pages for the main platform but also for the partner platforms, if applicable, will allow people who don’t have a User account yet to register on the Platform.

(* the Allow users to register box will be checked & the Allow user to register without needing confirmation from the administrator box will not be checked)

In this case, a Partner Administrator (for whom Full Control has been chosen) will have the necessary permissions to confirm the user’s registration on their partner platform using the Main Administration Menu (Main Administration Menu > Users > Approve users).
If not (no Full Control), only an Internal Administrator will be able to approve a user’s registration to the partner platform.

  • Create and approve Training across the scope of the Partner Platform

The Partner Administrator to whom the most extensive permissions have been delegated can, in the same way as an Internal Administrator, create or approve training within his/her scope (the Partner platform).

Finally, he/she has the same permissions over training and training paths as an Internal Administrator, obviously limited to his/her own Partner platform, except for one thing: creating and managing Training categories, which remains a feature only available to Internal Administrators.

  • Create Training Paths across the scope of the Partner Platform
  • Create and Manage Certificates and link them to Partner-specific Training
  • Create and Manage Assessments for Partner-specific Training
  • See E-mails and Legal Documents

ℹ️ All customized statistics or reports are the same whether or not the Partner Platform has been configured to Full Control).
