Managing Groups Effectively

Prerequisites:
Access to an administrator or group manager account.
Necessary permissions to manage groups and users.

Create Groups

Efficient group management in Rise Up is essential for administrators and group managers to simplify course enrollments, manage permissions, and ensure consistent training path assignments. 

Access the sidebar menu  and click on 'Groups' then 'Create', you can also access it from the general view menu of your groups by clicking on 'Create a group'.

Configure and Edit Group Settings

Below are the key points that will allow you to manage and take control of your groups

The Perimeters

Internal: Keep content within the organization for more security, confidentiality.
Partner: Facilitate collaborations with external entities.

Enable Hidden Group Option

Advantage: Maintain confidentiality and preserve sensitive data of your group by limiting visibility to authorized members. Moreover, you can choose to hide a group to preserve the confidentiality of your segmentation criteria and organizational needs.
Additionally, hiding groups can help protect sensitive information, such as details about specific circumstances of a learner (e.g., disabilities).

Select 'a range of authorized IP addresses' to enhance the security of your work environment.
Only IP addresses that you have pre-configured will be allowed to access this private space.

Advantage: Precisely control which trainings can be managed.
List of Authorized Categories
Advantage: Organize management by categories for a structured approach.

Choice of Training Paths

  1. None Option
    Advantage: Reduce the load by managing only the essentials.
  2. All Training Paths Option
    Advantage: Maximize control by managing all available paths.
  3. Authorized Training Paths List Option
    Advantage: Target specific paths for effective management.

Actions Related to Skills

  1. None Option
    Advantage: Simplify skill management.
  2. Evaluate Only Option
    Advantage: Focus on evaluation without the responsibility of assignment.
  3. Assign and Evaluate Option
    Advantage: Take charge of complete skills development for comprehensive tracking.

Custom Fields

You can create custom fields from your management menu located in the upper right corner of your navigation bar.
Simply click on the gear icon and select 'Custom Fields'.
After creating your fields, you can assign them to different groups.

Manage Group Members 

Go to 'Groups' then 'View', click on the gear icon to access the management page where you can register users, unsubscribe, contact, and export Excel files.

Link Groups to Courses for Automatic Enrollment

Access the course management page from the sidebar menu 'Courses' then 'View'.
Scroll down to 'Linked Groups' and select the groups to link.
Confirm the selection to automatically enroll all current and future members of the group in the course.

  • Problem: Smart rules do not work as expected.
    Solution: Check that the criteria defined for the smart rules are correct and complete.
  • Can I manage multiple groups simultaneously?
    - Yes, administrators can manage multiple groups. Group settings can be adjusted individually or in bulk.
    How do I remove a user from a group?
    - Go to Groups > View, select the group, then remove the user from the group's member list.
