Roles and Permissions

Prerequisites

This article is intended for Internal Admins and any user who needs to understand what they can or cannot access on the platform.

Some permissions require explicit activation by an Internal Admin under Settings > Permissions before they become effective for other roles.

Overview

The platform uses a role-based access control (RBAC) system. Each user is assigned one or more roles that determine which menus, actions, and data they can access. The platform has 5 roles and 5 functions.

  • Roles define who a user is on the platform.
  • Functions are additive capabilities — a Learner assigned the Group Manager function gains Management Menu access for their groups while their Learner experience remains unchanged.
  • A user can hold multiple roles and functions — effective permissions are the union of all assigned rights.
  • Certain permissions are inactive by default and must be enabled by an Internal Admin under Settings > Permissions.

Good to know
Learners do not see the Catalogue by default. An Internal Admin must enable it under Settings > Catalogue > Activate Catalogue for all users.

II — Resources (Library)

The Resources library is a shared content repository. Only Internal Admins can upload content and set visibility. All other roles have read and download access within their assigned perimeter.

III — Users

Partner Admin access is always limited to their partner perimeter. Group Manager user actions require prior activation under Settings > Permissions > Group Managers.

Users administration includes: remind inactive users, contact, suspend, reactivate, and delete.

Designer vs Designer + Group Manager
Designer alone has read-only access to all users — view profile, no edit, no import. A Designer who also holds the Group Manager function can create, edit, import, and administer users — only within their groups and only when the corresponding setting is enabled.
  1. Requires activation under Settings > Permissions > Group Managers:
    • Edit users → "Allow group managers to edit users who are members of their group"
    • Create/edit users → "Allow group managers to create and edit users who are members of their group"
    • Confirm registrations → "Allow group managers to confirm their own registrations for course"

Most Group Manager capabilities are disabled by default. An Internal Admin must enable them under Settings > Permissions > Group Managers.

Designer vs Designer + Group Manager
Designer alone can see the full group list and act on members of their own groups — but cannot create groups, assign managers, or modify registrations. A Designer who also holds the Group Manager function unlocks those actions, scoped to their own groups, when the corresponding settings are enabled.
  1. Create/edit groups and assign Group Manager → "Allow group managers to create and edit groups"
  2. Register group members for courses → enable "permission to manage courses" at group level
  3. User administration on group members → "Allow group managers to manage their groups" + user creation/edit settings

 

V — Partners

Partner management is exclusively reserved for Internal Admins. No other role or function has access.

VI — Data Lab — Custom Exports

The Custom Exports feature (under Data Lab > Reportings > View custom exports) lets administrators retrieve platform data in Excel (.xlsx) or CSV format.

When creating a custom export, the creator sets who can see it:

Note
Group Managers and Designers can only see exports where the creator chose the second visibility option. They cannot create or delete exports — only view and download those shared with them.

Deleting a course is irreversible. All content, user history, and registrations are permanently removed. Archiving is strongly recommended — statistics are preserved.

A dedicated function for secure multilingual management of Courses and Learning Paths — without any content administration rights. Designed for local or regional contributors who manage translations independently.

Assignment rules & perimeter logic

How to assign the Translator function

Go to Management Menu > Courses and open the course.

Open the Configuration tab → General information.

Scroll to the Translators field (below Course Designers).

Search for the user. Only users matching the course perimeter appear.

Select the user(s) and click Save. ✓ The Translator can now access translated content for this course.
If the course perimeter changes after assignment, mismatched Translators are automatically removed. Re-assign once the perimeter is confirmed. Their account and other permissions are not affected.

 

IX — Permissions Settings

Configure under Settings > Permissions. Changes apply globally to all users holding the relevant role or function.

The Designer Course Validation setting only affects new courses created after the change. Existing courses are not impacted.

FAQ & Troubleshooting

  • Issue: A user cannot see the Management Menu.
    Solution: The Management Menu is accessible to: Internal Admin, Partner Admin, Facilitator, Designer roles, or the Group Manager, Facilitator, or Author function. Learners with no additional function will not see it. Note: the Translator function does not grant Management Menu access.

    Issue: A Group Manager cannot create or edit users.
    Solution: Disabled by default. Enable under Settings > Permissions > Group Managers: "Allow group managers to create and edit users" or "Allow group managers to edit users who are members of their group".

    Issue: A Translator cannot see their assigned course.
    Solution: Three causes: (1) user perimeter does not match the course perimeter; (2) course perimeter changed after assignment, triggering automatic removal; (3) assignment was not saved — return to General information > Translators and confirm.

    Issue: A Translator was automatically removed from a course.
    Solution: Occurs when the course perimeter changes. Either revert the change or re-assign a Translator whose perimeter matches. Their account and other permissions are not affected.

    Issue: Learners are not seeing the Catalogue.
    Solution: Disabled by default. Enable under Settings > Catalogue > Activate Catalogue for all users.

    Issue: A Designer cannot publish or manage course visibility.
    Solution: These permissions must be granted at the course level, not globally. Open the course settings and grant the Designer the relevant capability.
     
  • What is the difference between the Translator function and the Designer role for translations?
    — A Designer can access course configuration, content, registrations, statistics, and more. A Translator can only access translated versions of explicitly assigned content — no original content, no Management Menu, no admin actions.

    Can a Learner be assigned the Translator function?
    — Yes. The function is additive — any user in the correct perimeter can be assigned. Their Learner experience and other permissions remain unchanged.

    Can a Translator on a Learning Path manage course translations without individual course assignments?
    — Yes. Assigning a Translator to a Learning Path grants access to translations of both the Learning Path and all its underlying courses from a single interface.

    Can a Learner get access to the Management Menu?
    — Yes — through functions. A Learner assigned the Group Manager function gains Management Menu access for their groups. The Translator function does not.

    What is the difference between archiving and deleting a course?
    Archiving makes the course unavailable but preserves statistics and history. Deleting permanently removes everything — irreversible, Internal Admin only.

    What can a Partner Admin do vs. an Internal Admin?
    — A Partner Admin has scoped capabilities within their partner perimeter. They cannot access Settings, create partner platforms, or perform global administration. If Full control is enabled, the Partner Admin can manage courses, users, and learning paths within their perimeter.

    Can a Group Manager register members for courses?
    — Yes, once the Internal Admin enables permission to manage courses at the group settings level.
