Optimize Your Training Sessions with the Waitlist

Prerequisite:
Access to the Rise Up platform with Administrator rights
Access to the Rise Up platform as a Group Manager or Learner.

Key Benefits

  1. Flexibility for trainers:
    Allows learners to register for a course that is already full, giving trainers the opportunity to create additional classes or add extra seats if necessary
  2. Continuous registration to online modules:
    Learners on the waiting list can continue to complete online modules while they wait for a spot, ensuring continuity in their learning journey
  3. Automated enrollments:
    With the automatic enrollment option, it is now possible to automate the registration of learners on the waiting list when a user unsubscribes or is unsubscribed from the session board, simplifying the process for Group Managers or Designers

View your learners' waiting list

From the side menu select 'Trainings' then 'View', and choose the training for which you want to manage the waiting list. 

A warning triangle pictogram will indicate that there are participants on the waiting list for a training. Hovering over this pictogram will allow you to see the number of participants waiting for all the sessions of the training.

Note: filters on waiting lists are also accessible from your training and session menu

Add users to the waiting list

Managing training enrollments can be challenging, especially when sessions fill up quickly. The feature of adding users to the waiting list provides a practical solution to this problem. As an administrator or group manager, you have the option to place users on a waiting list when sessions are full or when learners are not yet enrolled in a session, thereby facilitating enrollment management.
For learners, this feature allows them to register themselves on a waiting list via the catalog, ensuring they don't miss the opportunity to participate in training as soon as a spot becomes available. This structured approach ensures an optimized user experience for all parties involved.

As an Administrator or Group Manager

When registering a user for training, select the option 'Register on the waiting list' for full sessions.

As a Learner

Ensure the option 'Allow registrations' is enabled in the training configuration to allow self-registration from the catalog.

Don't forget to activate your catalog in your settings by checking the following options.

Once the option is enabled 'Allow users to choose a session or register on the waiting list', the learner will have the option to choose 'Register on the waiting list', if the proposed sessions don't suit them (date, time, location, language, etc.) or if the sessions are full.

If the following option is unchecked, it means that when learners register for the training, they won't choose a session and will automatically be considered as on the waiting list.

When a spot becomes available, an email is sent to the concerned learners to allow them to register for the session.

 

Manage users on the waiting list

To facilitate the enrollment of users on the waiting list to various trainings, you can manage this process from your session management page in two different ways.

1 When a new session is created, if users are on the waiting list for the associated module, a pop-up window will appear. This window allows you to enroll these users in the new session, prioritizing those who have been waiting the longest by pre-selecting them automatically. You can also choose to modify or remove users from this list.

2 After modifying the number of seats in the session, if seats are available and learners are on the waiting list for this module, a pop-up window will automatically open to offer you to fill the session by enrolling these learners.

When you create a new session, the option 'Upon unregistration, automatically register users from the waiting list' is offered at the bottom of the window. If checked, it allows for automatic enrollment of a learner currently on the waiting list to the session if a spot becomes available due to an unsubscription by an administrator/group manager or by the learner themselves.

Email Notification

If, after the waiting list user enrollment modal, there are still spots available in the session and some users are still waiting, the email #216 will be sent to them to notify. Only users on the waiting list for the concerned module will receive this email. This email can be deactivated in the email management model.

  • Issue: Users are not receiving emails about available spots
    Solution: Ensure that email template #216 is active and correctly configured. Verify that the auto-registration option is enabled in the training settings, allowing users to be notified and self-register when a spot becomes available.
    Issue: Users cannot self-register from the waiting list
    Solution: Ensure the auto-registration option is enabled in the training settings. This allows users to self-register when they receive notifications about available spots.
    Issue: The waiting list option is not visible in the Training Catalog
    Solution: Ensure the visibility settings for trainings in the catalog are enabled and that your learners are authorized to self-register. Verify that the waiting list option is enabled in these settings.

  • Can learners choose a specific session when they are on the waiting list?
    - No, learners are registered on the waiting list for the training, not a specific session. They will be automatically enrolled when a spot becomes available.

    How are learners prioritized on the waiting list?
    - Learners are prioritized based on their registration date, with the earliest registrants being considered first.
