The Management of Users

Prerequisites:
Administrator access to the Rise Up platform.
Necessary permissions to manage users.

Create Users

Access the side menu and select 'Users' then 'Create.'

Fill in User Details

The mandatory fields must be filled in to validate the creation of your user accounts:

  • Username;
  • Email;
  • Timezone;
  • User type.

Optional fields include: phone number, language, internal ID, and password.

We recommend setting an initial password that learners can change upon their first login. This approach reduces the frequency of login errors and allows learners to create a password that is both memorable and unique.

Assign Roles

1  Choose from the following 5 roles: Administrator, Learner, Designer, Community Manager, Designer, Facilitator.

2  Define user types: Internal, Partner, or Public.

We recommend clearly defining in advance the roles and functions of your learners and trainers. This is particularly important if you are part of an organization that manages large volumes of training and operates within specific hierarchical structures.

Reminder of Roles and Permissions

    1. Administrator
      Permissions: Full control of the platform, including configuration, creation, and management of user accounts (including other administrators), course development and assignment, enrollment management, and management of communications and legal documents of the platform.
    2. Partner Administrator
      Permissions: Manage their respective partner platforms with similar capabilities to Administrators but limited to their specific platform. They can create courses and users within limits defined by the Administrator. However, they cannot change the general appearance of the platform.
    3. Designer 
      Permissions: Focus on creating and structuring courses and learning paths. Designers can propose new courses and certifications, view user statistics, and, depending on settings, enroll users in the courses they have designed.
    4. Facilitator
      Permissions: Facilitate classroom or virtual sessions. Facilitators have access to relevant e-learning modules and can view course statistics for the sessions they facilitate. They are differentiated into external facilitators (outside the company) and internal (existing employees).
    5. Community Manager
       Permissions: Interact with users to foster a dynamic community environment, moderate discussions in forums, and stimulate interactions on the news feed.
    6. Group Manager
      Permissions: Oversee user groups, manage group statistics, course activities, and manage course enrollments for their group members, including direct enrollment capabilities if configured by an Administrator.
    7. Learner
      Permissions: Focus on personal development by accessing courses and resources available on their designated platform. Learners can view their own progress and statistics without being able to change platform settings or configurations.

  3. Customizing Fields

    To customize fields such as age range, department, job, location, regions, and sites, click on the dropdown menu next to each field name to display and adjust the options.

     

    Bulk Import Users

    Only the following formats are accepted: XLSX, XLS, CSV.
    Prepare your Excel file, ensure your Excel file is properly formatted. Use the template provided by clicking the button 'Import Users'. Check the data before finalizing the import.

    Summary of Steps to Follow

    Choose the appropriate language for the import process in the dropdown menu 'Select Import Language.' Choose the date format corresponding to the format used in your Excel file in the dropdown menu 'Select Date Format.'
    Import your file by accessing the section 'Import your file.' Drag your prepared Excel file into the designated area or click to browse and select your file.

    Fill in the required fields: First Name, Last Name, Login, and Email.
    Optional fields include phone number, partner, role, language, timezone, suspension date, activation date, group(s), training path(s), and courses.
    Although the following fields are optional, we recommend clearly specifying the roles and functions of your learners and trainers, especially if you are part of a large training organization with specific hierarchies.

    After downloading, use the 'Preview and Edit' section to review the uploaded data. Make necessary adjustments directly on the platform to ensure all information is accurate.

     

Edit User Details 

Access the 'Users' menu then 'View' and select a user.

In this section, you can perform important actions on your users, such as resetting passwords or changing a user's scope. Additionally, you get an overview of your user's activity through summary tabs.

Manage Passwords

We recommend selecting the option 'force the user to change the password at the next login' to avoid any issues related to repeated logins in the future. Set the requirement for users to change their password at the next login during CSV import or individual user creation.
Prevent password changes for SSO users, enable settings to prevent password changes.

  • How to reset a user's password? 
    - Go to Users > View > select the user > Password.
    Can I update user roles in bulk? 
    - Yes, use the CSV import feature.
