Configure Smart Rules

Prerequisites:
Access to an administrator account on the Rise Up platform.
Necessary permissions to manage users and groups.

Access the Group Management Interface

Navigate through the side menu to 'Groups' then 'View' and finally 'Manage Group' by clicking on the gear icon

Click on 'Manage Smart Rules' to open the smart rules configuration page.
Each group can have its own set of rules.

Add or Modify Smart Rules

Smart rules automate the process of adding and removing users based on predefined criteria. This eliminates the need for manual updates whenever there's a change in user status or information, ensuring that group members are always up-to-date without constant administrative intervention.

Click ‘+ Add a Smart Rule’ to create a new rule.
Basic options include: Email, Role, Function, Username, Internal ID, Phone, Creation Date, Suspension Date, Group, and User Status. Adapt your smart rules based on the custom fields created in the 'Custom Field' menu of your settings.

Below is an example of the custom fields mentioned in parentheses.
This will help you see the difference between the basic settings and those you have configured yourself.

Configure Application to Group Members

Choose if the rule applies to all group members or only to new ones.
Decide if the rule should exclude group managers.

In the actions menu, you have the option to filter information into three categories: 'contains, equals, does not equal'. Let's take the example of a custom category we created called 'Location' which contains the value 'Paris'.
In this case, the way we configured it will allow us to automatically classify each user created in the Paris team without any manual intervention.

List of Rules 

  1. Type:
    This indicates the criterion on which the rule is based. In this example, it's a custom location field.
  2. Relation:
    Defines how the value must match the criterion. Here, 'Contains' means that the location field must include the specified value.
  3. Value:
    The specific value to search for in the location field. In this case, it's 'Paris'.

Add a Rule: You can add additional rules by specifying another type, relation, and value to refine group management.

Settings 

These features allow for effective group management by automating the addition and removal of members, simplifying management, and ensuring that the group remains relevant to the defined criteria.

Adherence to Rules for Group Membership

    • At least one of these rules must be met: A member can belong to the group if they meet at least one of the defined rules.
    • All rules must be met: A member must meet all the rules to be part of the group. This makes the conditions more stringent.

Application to Group Members Automatically Add Members:

    • Users who meet the rules will be added automatically to the group without manual intervention.

Automatically Add and Remove Members:

    • Users who no longer meet the rules will be automatically removed from the group, ensuring that only relevant members remain.
  • Problem : Smart rules are not triggering as expected.
    Solution : Check that all criteria are correctly defined and that there are no conflicting rules. Ensure that user attributes match the rule conditions.
    Problem : Changes are not being saved.
    Solution : Make sure you have the necessary administrative permissions and click the "Save" button after making changes.

  • Can I set up smart rules based on user roles?
    - Yes, you can create smart rules based on user roles by selecting this option in the smart rule settings.
    How can I ensure that a smart rule applies only to new group members?
    - In the smart rule settings, select the option to apply the rule only to new members.
